Duties & Responsibilities
With oversight from the Manager of Financial Operations, this position has primary responsibility for administering Financial Tool Access and the Purchasing Card Program at Harvard Medical School. Evaluates, approves, and processes requests for access to Harvard Financial Systems by HMS department staff. Evaluates, approves, and processes applications for credit cards for business purchases. Adheres firmly to compliance and risk management standards while working to ensure that staff across HMS departments have the ability to carry out their financial roles. Provides small group training for purchasing card holders as well as coaching and end-user support for Harvard's primary procurement tool, HCOM, and other tools and policy as needed. Steps in to mediate and facilitate resolution of procurement and accounts payable issues between University central offices, local departments, and vendors when normal processes break down. Completes detailed post audit/compliance reviews as part of a continuous cycle of education, action, and feedback between the HMS central Office of Finance, all HMS Departments, and University central offices. Develops reference materials and content for bulletins, presentations, and posting on-line. Uses independent judgment, tact and diplomacy in an unpredictable variety of sensitive and confidential matters.

Keeps pace with a steady flow of information regarding policies and procedures on behalf of the HMS financial community--representing HMS in University-wide forums and committees, distilling and communicating vital information to impacted HMS constituents, and acting as a liaison between central University administration and the HMS community.

Basic Qualifications
Five or more years related work experience.?Education beyond high school may count toward experience.

Additional Qualifications
College degree preferred. Many of the activities of this position are unique to the role or to Harvard and, therefore, must be learned on the job. Ability to learn concepts easily and to communicate financial policies and procedures accurately. Must communicate with confidence and clarity to individuals and small groups. Must be highly organized and thrive on managing numerous tasks simultaneously with a strong commitment to accuracy.?Must also be committed to providing the highest level of customer service and responsiveness. Experience utilizing a variety of software including Word and Excel and a proven ability to quickly master new computer programs. Proven ability to work independently with minimal supervision. Ability to handle complex and confidential information with discretion.
